Privacy Policy

Sacramento Smooth Jazz®

Sacramento Smooth Jazz® respects your privacy and the trust you place in us when you listen, visit our website, or communicate with our station.

This policy explains how Sacramento Smooth Jazz® (“we,” “us,” or “our”) handles personal information collected through www.SacSmoothJazz.fm, station-operated forms, and communications you send directly to us.

We do not sell, rent, lease, lend, or trade the contact information you provide to us. We do not give our listener contact lists to advertisers, sponsors, or other organizations for their independent marketing.

Necessary processing by service providers, disclosures you specifically authorize, and disclosures required by law are explained below. These are not exceptions allowing us to sell your contact information.

1. Information We Collect

Information you provide. We collect the information you choose to submit when you contact us, make a song request, complete a listener survey, request station updates, or participate in a station activity. Depending on the interaction, this may include your name, email address, other contact details you provide, listening preferences, survey responses, and the contents of your message.

Required and optional fields are identified on the relevant form. Please do not include Social Security numbers, passwords, bank account credentials, full payment card details, or sensitive medical or financial information in general messages or survey responses.

Website and listening information. Our website platform, streaming services, and embedded tools may automatically receive technical information when you use them. Depending on the service, this may include your IP address, approximate location derived from that address, browser and device information, pages visited, referring pages, access times, cookie identifiers, and playback or connection information.

Transaction information. When you make a contribution or other payment through a service available from our website, the payment provider collects the information needed to process it. We may receive your name, contact information, transaction amount, date, status, and related records needed to administer the transaction. The provider’s privacy policy also applies to information it handles.

2. How We Use Information

We use personal information to respond to your communications, handle requests, understand listener feedback, provide updates you choose to receive, and administer activities or transactions in which you participate.

We also use relevant information to operate and improve our website and streaming services, understand audience activity, troubleshoot playback problems, prevent spam and misuse, maintain security, and meet legal and recordkeeping obligations.

We do not treat an ordinary question, comment, or song request as permission to add you to an ongoing promotional mailing list.

3. Limited Disclosures

Providers supporting station operations. We use providers for functions such as website hosting, form and contact management, email delivery, streaming, media hosting, analytics where enabled, security, payment processing, and accounting or professional support. These providers may process information reasonably needed for those functions.

We authorize providers acting on our behalf to use the information we supply for the services they perform for us, not to market their own products to our listener contact lists. Services that collect information for their own purposes are addressed under “Other Websites and Independent Services” below.

At your specific direction. We may disclose information when you expressly ask or authorize us to do so, limited to the purpose you authorize. Contacting the station or entering a promotion does not, by itself, authorize us to give your contact information to a sponsor for marketing. Any separate marketing permission must be clearly requested.

When required by law. We may disclose personal information when required by applicable law, a valid court order, subpoena, or other legally enforceable process. We limit disclosure to the information required by law.

Audience reporting. We may provide sponsors or partners with combined audience statistics or activity reports that do not reasonably identify individual listeners. Such reports do not include listener contact lists.

4. Cookies, Online Players, and Browser Privacy

Our website uses cookies and similar technologies to support website functions, security, and service reliability. Depending on the tools and settings in use, additional technologies may support preferences, analytics, or embedded media.

An embedded player or other third-party tool may receive technical information when it loads or when you interact with it, even when you do not submit a form. Some providers may combine information from these interactions with information about activity over time and across other websites, according to their own privacy practices.

You can manage cookies through your browser and through any cookie-preference controls provided on our website. Blocking some technologies may affect forms, media playback, or other features. Browser controls do not necessarily prevent every type of technical information from being received.

Browser privacy signals. [Before publication, insert the verified description of how this website responds to legacy Do Not Track signals and how it handles Global Privacy Control or other legally recognized opt-out signals where applicable. Do not publish this instruction as policy text.]

Our commitment not to sell or distribute your contact information for independent marketing does not depend on whether you enable a browser privacy signal.

5. Listener Communications and Submissions

When you choose to receive station updates, we use your contact information for those communications. You may unsubscribe using the instructions in a promotional email or contact us to stop future promotional messages.

An unsubscribe request does not prevent us from responding to an inquiry you initiate or sending necessary transaction-related communications.

Sending us a private message does not authorize us to publish your private contact details. Material you intentionally submit for broadcast or publication may be used for the stated purpose and subject to any permissions explained at submission. We do not publish private contact details with that material.

Where a promotion or other activity needs additional information or involves another organization receiving information, we will explain that arrangement when you participate.

6. Your Choices and Privacy Requests

You may contact us to ask what personal information we maintain about you or request access, correction, or deletion. You may also ask us to stop promotional communications.

Depending on your location and the laws applicable to our activities, you may have additional rights, including receiving a copy of information, opting out of certain disclosures or targeted advertising, limiting certain uses of sensitive information, or appealing a decision about a privacy request. We honor applicable privacy rights and do not discriminate against you for exercising them.

For access, correction, or deletion requests, we may need to verify your identity and, when applicable, an authorized representative’s authority. We request only information reasonably needed to process the request. You do not need to create an account to submit a privacy request.

Some requests may be limited by legal obligations, recordkeeping requirements, security needs, or the rights of others. We will explain any applicable limitation and respond within the time required by applicable law. You may ask us to reconsider a response through the same contact method.

7. Retention and Security

We retain personal information for as long as reasonably needed for the purposes described in this policy. Relevant considerations include the nature of your request, any ongoing subscription or transaction, legal recordkeeping requirements, and security needs.

We delete or de-identify information when it is no longer needed, subject to applicable legal requirements. We may retain a limited record of an unsubscribe or privacy request so that we can continue to honor it.

We use reasonable administrative and technical safeguards appropriate to the information we handle and limit authorized access to people and providers who need it for their work. No website, electronic transmission, or storage system can be guaranteed completely secure.

8. Other Websites and Independent Services

Our website may link to or include independently operated services, such as artist websites, social platforms, radio directories, payment services, ticketing providers, sponsors, and charitable organizations.

Information you provide directly to an independent organization, or that it collects for its own purposes, is subject to its privacy practices. Our relationship with a sponsor or partner does not, by itself, give that organization access to our listener contact lists.

Our station is based in California. Service providers may process information in the United States and other countries, where privacy laws may differ. We remain responsible for meeting the privacy obligations that apply to our handling of your information.

9. Children’s Privacy

Our website and services are intended for a general audience and are not directed to children under 13. We do not knowingly collect personal information from children under 13.

A parent or guardian who believes a child has provided personal information to us should contact us. We will investigate and take appropriate steps to remove information collected without any legally required parental consent.

10. Changes to This Policy

We may update this policy as our services, practices, or legal obligations change. We will post the revised policy on this page and update its effective date.

For material changes, we will provide a prominent notice on our website and any additional notice or consent required by law. Publishing an update does not, by itself, authorize a new use of previously collected information where your consent is required.

11. Contact Us About Privacy

For a privacy question, concern, or request, use the contact form on the Sacramento Smooth Jazz® homepage.

Begin your message with “Privacy Request” and describe how we can help. For a request involving information you previously submitted, identify the email address used and the relevant interaction so that we can locate the record.

Please do not send passwords, identification documents, or financial-account details through the general contact form. If further verification is necessary, we will explain what is needed.
